Data protection information for the visitor register of the Finnish Institute of Occupational Health’s offices with no lobby

The Finnish Institute of Occupational Health maintains a visitor register for recording information on persons visiting the Finnish Institute of Occupational Health’s offices that have no lobby. Information is recorded in the register on persons who visit the offices of the Finnish Institute of Occupational Health in Turku, Oulu and Pitäjänmäki in Helsinki.

Why and on what basis we process personal data

The legal basis for processing is the controller’s legitimate interest (Article 6(1)(f) of the General Data Protection Regulation). The legitimate interest includes ensuring the operations and safety of the Finnish Institute of Occupational Health and protecting the personnel, property and visitors of the Finnish Institute of Occupational Health.

What personal data we process

The personal data process in the visitor register are:

  • visitor’s name
  • company represented by the visitor, if any
  • phone number
  • visit date and time
  • name of the host

Where we obtain the personal data

The personal data is collected from the visitor personally.

For which purposes we disclose personal data

We use IT service providers that offer technical solutions for data processing. Personal data is processed in IT services suitable and secure for each type of data. The Finnish Institute of Occupational Health has an agreement with each service provider that specifies the terms and requirements for the processing of personal data.

Whether we transfer personal data outside the EU/EEA

We do not transfer the personal data in the visitor register outside the EU/EEA.

How long we retain the personal data

The personal data is retained for a maximum of five months after the visit.

Whether we conduct automated decision-making or profiling

No automated decision-making or profiling is performed based on the personal data in the visitor register.

Your rights

You have several rights related to personal data. You can submit a free-form request concerning your personal data to the Finnish Institute of Occupational Health or use the Personal data request to the Finnish Institute of Occupational Health form (pdf). Submit the request to the Data Protection Officer of the Finnish Institute of Occupational Health.

As a rule, you will receive a response to your request within one month of submitting it. The Finnish Institute of Occupational Health may refuse to fulfil a personal data request or restrict the exercise of the data subject’s rights in situations permitted by law.
