Register Description
The Steps towards equal parenting and a family-friendly working life (CARE4CAREER) -project promotes gender equality, work–life reconciliation and family-friendly practices in work life. The project is implemented in cooperation between the Finnish Institute of Occupational Health, the Finnish Institute for Health and Welfare (THL) and Mothers in Business (MiB) ry.
The project is funded by the European Union’s Citizens, Equality, Rights and Values Programme (CERV). The project is implemented during the period from 1 January 2025 to 31 December 2026.
The project produces a tool for implementing work–life balance measures as part of the workplace gender equality plan.
The project will organise an internal kick-off event for the steering group and diversity panel experts in spring 2025, a series of three open webinars in autumn 2025, an international programme section in 2026, and five learning workshops for pilot workplaces during autumn 2025 and spring 2026.
Why and on What Basis Do We Process Personal Data
The basis for processing personal data is, in accordance with the funding conditions required by the EU-funded project and the agreement between the Finnish Institute of Occupational Health, the Finnish Institute for Health and Welfare (THL), and Mothers in Business (MiB) ry, to collect data on persons participating in the project activities and pilot workplaces.
The data is stored in the European Commission’s project portal in connection with the reporting of the project’s activities and for any project monitoring or auditing carried out by the Commission. The processing is based on the regulation establishing the Citizens, Equality, Rights and Values Programme of the European Union (2021/692), i.e. the basis is legal obligation.
In addition to the above, we collect personal data in connection with the production of events. The legal basis for processing of these data is public interest (Article 6(1)(e) of the General Data Protection Regulation; Section 4 of the Data Protection Act).
What Personal Data We Process
We process the following contact information:
- Name of the person
- Email address
- Phone number
- Organisation
- Position or job title in the organisation
- Place of residence
In addition, to produce events we collect:
- signatures from participants in in-person meetings
- names of registrants and participants and participation time data in remote events
- possible dietary information.
The processing is based on Regulation (EU) 2021/692 establishing the Citizens, Equality, Rights and Values Programme, i.e. the basis is legal obligation.
Where We Obtain Personal Data
Personal data are obtained from the data subject themselves in connection with the nomination of the steering group and diversity panel, and/or when registration for and/or participation in events.
The data of registered participants are collected via the registration system used by the Finnish Institute of Occupational Health, Webropol, or by email.
As the lead beneficiary of the project, the Finnish Institute of Occupational Health receives from the Finnish Institute for Health and Welfare (THL) and Mothers in Business (MiB) ry the data of participants in events organized by them to be reported to the EU project portal (signed participant lists from in-person events or participant lists with time data from remote events, e.g. from Teams or Zoom).
To Whom We Disclose Personal Data
The data of registrants and/or participants in events (registration data from the registration system used by the Finnish Institute of Occupational Health, signed participant lists from in-person events, or participant lists with time data from remote events, e.g. from Teams or Zoom) are reported by the Finnish Institute of Occupational Health to the European Union project portal.

We use IT service providers that provide us with technical solutions for data processing. Personal data are processed in an IT service appropriate and secure for each type of data. The Finnish Institute of Occupational Health has an agreement with each IT service provider, and the terms and requirements of personal data processing have been agreed upon.
Do we Transfer Personal Data Outside the EU/EEA?
As a rule, we do not transfer personal data outside the EU/EEA. Exceptions to this may include certain IT service providers, in which case data may be transferred outside the EU/EEA in accordance with the methods permitted by the General Data Protection Regulation.
How Long We Retain Personal Data
Signed participant lists from produced in-person events as well as registration and participant data from remote events are stored in the Finnish Institute of Occupational Health’s case management system until 2035, after which they will be destroyed.
This is based on Regulation (EU) 2021/692 establishing the Citizens, Equality, Rights and Values Programme. The email addresses, phone numbers, and dietary information of persons who have participated in person events will be destroyed after the project ends in 2027.
Do We Use Automated Decision-making or Profiling
We do not use automated decision-making or profiling.
What Providing the Data Means
The data are collected to verify participation in the project activities. Providing the data is based on the Regulation (EU) 2021/692 establishing the Citizens, Equality, Rights and Values Programme, i.e. the basis is a legal obligation.
Your Rights
You have several rights related to your personal data, which vary in different situations. You may submit a request concerning your personal data to the Finnish Institute of Occupational Health using the Finnish Institute of Occupational Health’s form or as a free-form. Deliver the request to the Data Protection Officer of the Finnish Institute of Occupational Health.
Right of Access
You have the right to access and verify your personal data. The right of access is primarily personal. The data can only be provided to the data subject themselves or their legal representative.

You have the right to rectification of data
Right to Object
In certain situations, you have the right to object to the processing of your personal data, meaning you can request that your data not be processed at all.
Right to Erasure (”Right to be Forgotten”)
You do not have the right to erasure of data.
Right to data portability
You do not have the right to transfer your data to another data controller.
Right to Restriction of Processing
You have the right to request restriction of processing in situations described in the General Data Protection Regulation.
Right Not to Be Subject to Automated Decision-Making
The Finnish Institute of Occupational Health does not carry out automated decision-making based on the register.
Right to be Informed of a Personal Data Breach
You have the right to be informed of a personal data breach if the breach poses a high risk to the protection of privacy. We process any personal data breaches immediately upon becoming aware of them and, if necessary, make notifications to the supervisory authority and data subjects in accordance with the General Data Protection Regulation.
